The Benefits Coordinator is responsible for supporting all aspects of employee benefits administration. This role ensures accurate processing, recordkeeping, and compliance with internal policies and applicable federal, state, and local regulations. The individual will work closely with payroll and external vendors to manage benefits enrollments, changes, and terminations, maintaining up-to-date and compliant employee records. The Benefits Coordinator also monitors and responds to employee inquiries received through the benefits inbox, providing timely and accurate support. This role also contributes to the administration of special organizational programs such as Education Reimbursement and Wellness initiatives. The position requires the ability to work effectively with moderate supervision, following established procedures and regulatory guidelines. ESSENTIAL JOB RESPONSIBILITIES - Manage all aspects of benefits administration, including enrollments, changes, terminations, contributions, and audits across relevant systems and portals; - Reconcile employee benefit enrollments and deductions with bi-weekly payroll and process benefit invoices; - Administer 403(b) contribution changes in HRIS and coordinate with the vendor system; - Respond to employee and manager inquiries regarding benefits, time off (ETO, PA, ST), and leaves, resolving routine concerns; - Provide guidance and education to employees and managers on benefit programs and policies; - Partner with Payroll to ensure accurate benefit deductions and resolve discrepancies; - Assist with compliance activities including review of SPDs, SARs, ACA forms, and annual benefit notices; - Conduct benefit audits (e.g., 403(b), insurance enrollments, BCBSM invoices, HSA/FSA contributions) to ensure accuracy and compliance; - Collaborate with vendors and subject matter experts to troubleshoot and resolve benefit related issues; - Support the communication and administration of Annual Open Enrollment; - Stay current on benefit plan designs, regulatory requirements, and industry legislation; - Manage the employee reimbursement program and support special projects as needed; - May assist with leave of absence administration; - Essential job responsibilities may vary based on the specific needs of each program/department; - May be required or asked to participate in a Bethany sponsored event; - Complete other duties as assigned. QUALIFICATIONS: - Bachelor's degree in business administration or similar related field of study from an accredited college; - At least two (2) years of relatable work experience in benefits administration; - Demonstrate working knowledge of benefits administration and applicable laws to include but not limited to Health Insurance Portability and Accountability Act (HIPAA), Section 125 plan compliance, such as Affordable Care Act (ACA), Consolidated Omnibus Budget Reconciliation Act (COBRA), Employee Retirement Income Security Act (ERISA), and/or federal and state benefit programs and requirements; - Leave of absence administration, preferred; - Knowledge of leave of absence administration applicable laws to include but not limited to Family and Medical Leave Act (FMLA), Pregnant Workers Fairness Act (PWFA), Worker’s Compensation (WC), Americans with Disability Act (ADA), and/or federal and state leave requirements, preferred; - Working knowledge of wellness programs management, preferred; - Must have a demonstrated passion for customer service and highly organized; - Must possess a strong attention to detail with exceptional problem solving and analytical skills; - Exhibit a high level of critical thinking skills, while demonstrating an ability to develop creative solutions; - Excellent verbal and written communication, and interpersonal skills; - Must be reliable with time sensitive deadlines and tasks; - Exercise a high level of confidentiality; - Working knowledge of MS Office Suite, SharePoint, and HRIS and benefits administration systems (UltiPro/UKG preferred); - Computer skills sufficient to perform essential functions including knowledge of Microsoft Office Suite; - Must be 21 years old with a valid driver's license with at least 3 years driving experience in the U.S. to operate a vehicle on behalf of Bethany; - Must pass a Motor Vehicle Records (MVR) check and maintain a reliable vehicle with proof of adequate coverage; - Pass a criminal history screen, including state and local child protection agency registries; - Subscription to and integration of the agency Statement of Faith, Mission Statement, and Commitment to Unity.
